Personal Assistant/ Receptionist

Purpose of the job

  • Assist the Business Development Director in all administrative duties and in effectively managing the office.
  • Act as receptionist and provide related services.
  • Comply with all information security policies, procedures and guidelines in place at Ocorian to ensure information security.

Main responsibilities

  • Manage and update the schedule of the Business Development Director on a daily basis.
  • Book flights for Business Development Director and the Business Development persons of the office.
  • Maintain business trip schedule.
  • Update leads, contacts, opportunities and file notes on Salesforce.
  • Collect documents for Business Development Director’s signature (while ensuring proper supporting documents and approvals are received).
  • Act as receptionist;
    • Welcome of clients and visitors within the office premises.
    • Answer of telephone calls and taking messages.
    • Serve coffee, tea, water, biscuits to clients and visitors.
    • Maintain the boardroom tidy and clean at all times.

Restrictions on day to day responsibilities

  • Protect the confidentiality, integrity and availability of all information on Ocorian, its clients and employees at all times to safeguard the professional reputation of the company, its employees and its clients.

Qualifications

  • Completed at least Secondary education with good results.

Knowledge/skills/experience

  • Fluent in English and French, and possess good written and verbal communication skills.
  • Knowledge of advanced MS office applications, including Word, Excel and Outlook.
  • Experience in ERP would constitute an advantage.
  • Ability to manage complex and highly confidential information.
  • 3+ years’ experience in similar role.
